Green Meetings

 

Some years back, after a very busy meeting and incentive season, we calculated the amount of water bottles just consumed during one single 3 day event and came to an alarming 5000 plastic bottles. We then ran through the estimated amount of waste produced per year on events we handle & decided there surely must be room for improvement. As many neighbouring Mediterranean countries The Maltese Islands are far from best practice and struggle in offering sustainable solutions. In our ongoing efforts to offer best possible event solutions we have ventured out on taking steps to incorporate more sustainable practices in event management and as the first DMC in Malta we have set up an internal and external sustainability policy together with Global Green Events. Our aim is to create awareness in our communities, be pro-active with our suppliers and clients and together work hand in hand to achieve better solutions on an economic, social and environmental scale.

ECMeetings Event Policy involves;

  1. Reduction of plastic disposables wherever possible. No plastic straws on events. Plastic bags are not offered to clients on events.
  2. Reusable drinking water bottles are offered to clients in each proposal, with a preferred option of this option and hotel or venue based water dispensers.
  3. Venues and hotels are asked to offer water dispensers for drinking water over single use plastic bottles.
  4. Materials are considered in procurement and sourcing. With eco-friendly or sustainable options and new innovations being sought out.
  5. Promotion of conscious transport options. Using public transport, shuttle buses, electric vehicles, park and ride initiatives, carpooling, cycling or walking.
  6. Eco-friendly menu options are offered to clients, including a variety of local, vegan and vegetarian, dietary requirements, and organic and pesticide free.
  7. Printed menus used sparingly, electronic menus or group wide menus are prioritised.
  8. Promote energy efficient and energy reducing initiatives and event solutions through proposals.
  9. Use suppliers as a preference that have unleaded fuel generators and consider the reduction of energy consumption in their operations.
  10. Ensure all lighting on events is LED wherever possible.
  11. Utilise the most recent transport on the market to reduce CO2 emissions and maximise client comfort
  12. Priority is given to local suppliers and service providers by sourcing workers locally, buying local, using local providers.
  13. Proposals and the website will both promote sustainable event solutions for clients, to ensure that sustainability is an easy option to undertake.
  14. Every individual client proposal created includes at least 1 sustainable event option or CSR activity for clients
  15. Clients are engaged with sustainability initiatives through proposals, pre event communications and on site signage. To ensure a successful roll out and engagement.
  16. Sustainable and CSR based gifts are offered to clients.
  17. Commitment to organising sustainable events that share sustainable innovations and encouragement for ECMeetings staff, DMCs and suppliers. 

ECMeetings Inhouse Policy involves;

  1. Bring your own company branded water bottles and reusable flasks/mugs to the office! Drinking water is from reusable 20 litre dispensers.
  2. Utilise the thermos in the kitchen for consistent hot water to avoid electricity and water wastage.
  3. Reduce your water use. Use the taps with consideration, undertake communal washing up.
  4. Use the right bins. Separate used paper and plastics at every desk and non-recycling to be placed in the communal black bin.
  5. There is a compost bin for organic material in the kitchen. Use only the authorised white compostable bin bags.
  6. Reuse paper wherever possible, separate printers ensure reusable paper is used for inhouse documents. 2 screens are used to avoid printing of supplier offerings.
  7. All soaps and cleaning products are biodegradable.
  8. All PCs, office equipment and phone chargers to be switched off. Leaving items on standby causes wastage. New appliances are to be eco friendly.
  9. Use natural daylight wherever possible for lighting and ensure all lighting is switched off when you leave a room/at the end of the day.
  10. Vehicle kilometres are reduced on fam trips and site visits, with trip calculations taking eco impacts into account.
  11. Weekly ‘vegetarian Wednesdays’ contributes to a reduction of climate impacts.
  12. Reduction of food waste initiatives, including utilising Tupperware for leftovers in the fridge and sharing of communal items.
  13. Packaging is reduced at source wherever possible. Visiting suppliers are asked not to bring disposables to serve lunches/snacks.
  14. Reach out to the national community. Annual sustainability gathering is run for suppliers and other DMCs for innovation and networking. CSR activities are undertaken annually.
  15. ECMeetings employees hold the value of honest and respectful communication and negotiation with colleagues, suppliers and clients.
  16. The Sustainability Ambassador keeps up to date with new sustainable solutions with internal checks on initiatives to ensure all is on track.
  17. Accountability management is in place with Sustainability Consultancy Global Green Events to ensure an annual assessment.
