What 25 years of conference planning has taught us about the meetings that set the year in motion

We’ve just wrapped up another busy kick-off season.

Across Malta, Portugal and Italy, our teams have spent the past months welcoming international delegates arriving with a shared purpose: align teams, launch strategies and start the year with momentum.

Kick-off meetings are some of the most rewarding events to deliver—but also some of the most complex. After 25 years in the MICE industry, they still manage to teach us something every season.

With the season behind us, we asked our project leads — Damien Curmi, Ilona Busutil, Carmo Geraldes Barba, and Karen Attard — to share their biggest takeaways from this year’s kick-off meetings.

Their answers revealed some familiar truths, and practical insights.

Start earlier than you think you need to

If there is one lesson that keeps repeating itself, it’s the value of planning early.

Kick-off meetings often involve large groups, multiple venues, production setups and carefully timed agendas. The earlier the planning starts, the more possibilities planners have — from securing preferred hotels to designing experiences without compromise.

“Early planning gives everyone breathing space,” says Damien Curmi. “It allows us to secure the best venues, negotiate stronger rates and build a programme that flows naturally.”

Demand for destinations like Malta, Portugal and Italy continues to grow, especially for corporate events. As a result, venues and hotel availability can fill quickly.

In fact, while the 2026 kick-off season has just finished, many of our teams are already working with clients to secure dates and venues for 2027.

Starting early simply gives planners more control — and fewer surprises later on.

Communication is everything

Behind every seamless event is an enormous amount of communication.

Between planners and project managers.
Between production teams, hotels and transport providers.
Between suppliers, venues and on-site staff.

One thing all our project leads agreed on this season is the importance of detailed working documents.

These documents—sometimes dozens of pages long—outline schedules, responsibilities, technical requirements and contingency plans. They take time to create, but they save time later.

“When everyone knows exactly what is expected, things move faster and smoother,” explains Ilona Busutil. “Clear communication and detailed planning documents prevent misunderstandings before they happen.”

For delegates, the experience should feel effortless. But behind the scenes, that smooth experience is the result of months of coordination and planning.

Even the best plans need flexibility

Of course, even the most detailed planning cannot predict everything.

Weather changes. Flights get delayed. Agendas shift. A last-minute request appears from a keynote speaker or senior executive.

That’s why flexibility is one of the most important qualities in event management.

“You can plan every detail, but there will always be unexpected moments,” says Carmo Geraldes Barba. “What matters is maintaining a calm, can-do attitude and working together to find solutions quickly.”

Teamwork becomes essential in these moments. Project managers, suppliers and venue teams all need to collaborate closely to adapt and keep the event running smoothly.

Often, delegates never even notice the adjustments happening behind the scenes.

Strong local networks make all the difference

Another lesson that becomes especially clear during busy seasons is the importance of strong local relationships.

Over the years, building trusted partnerships with suppliers, venues and local partners has proven invaluable. When unexpected challenges arise, those relationships allow teams to respond quickly and find solutions that might not otherwise be possible.

“Having reliable partners on the ground makes all the difference,” says Karen Attard. “When everyone trusts each other and communicates well, challenges become much easier to solve.”

Local knowledge also opens doors to experiences that simply can’t be found through online research.

For international planners, having a trusted local partner means someone is always on the ground — ready to solve problems, adapt plans and make sure every detail falls into place.

The best moments often happen beyond the meeting room

Of course, kick-off meetings are built around strategy sessions, presentations and company updates.

But the moments people remember most often happen outside the conference room.

One recent kick-off meeting took place in Sintra, just outside Lisbon. Set in the stunning surroundings of the Penha Longa Resort, the programme combined productive sessions with moments designed to help delegates recharge and reconnect.

Morning yoga sessions, jogging routes through the surrounding nature and a “Breath & Reset” wellbeing experience helped balance the intensity of the meeting agenda.

The group also took part in a CSR initiative that created a positive impact for the local community—something that increasingly matters to companies and delegates alike.

In the evenings, the atmosphere shifted completely. Delegates gathered at two iconic venues — the romantic Casa dos Penedos and the historic Forte da Cruz overlooking the Atlantic Ocean.

Fine dining, entertainment and relaxed conversations created the kind of genuine connections that rarely happen during formal sessions.

Moments like these remind us that when conferences strike the right balance between focus, wellbeing and shared experiences, they become much more than meetings.

What looks easy usually isn’t

One comment our teams often hear from delegates is:
“Everything runs so smoothly.”

That’s always nice to hear.

But what appears effortless during an event is usually the result of months of preparation and countless small decisions.

Transport routes mapped out.
Technical rehearsals completed.
Supplier briefings aligned.
Backup plans prepared.

As Damien Curmi puts it:
“If everything feels easy to the delegates, it usually means the planning behind it was very detailed.”

The real secret after 25 years

After more than two decades of delivering conferences and kick-off meetings, one thing has become clear.

Great events are never the result of one big idea. They are the result of hundreds of small decisions made well, strong collaboration between teams, and the ability to adapt when things inevitably change.

Kick-off meetings, in particular, carry a special responsibility. They bring people together at the start of something new — aligning teams, sharing vision and setting the tone for the year ahead.

When they are planned thoughtfully, communicated clearly and delivered with the right mix of structure and creativity, they become far more than a business gathering.

They become the moment when a team starts moving forward together.
